Privacy policy

1. Scope

This provisional Privacy Policy explains how Alpheva AI may collect, use, disclose, and protect personal information through its public website, contact channels, recruiting process, and expert-network applications. It does not replace a customer agreement, data-processing agreement, expert agreement, research consent, or a separate notice presented at collection.

When Alpheva AI processes personal information solely on a customer's instructions, the customer generally determines the purposes and means of processing. Requests concerning that information should first be directed to the relevant customer, subject to the final contract and applicable law.

2. Information we may collect

Depending on how you interact with Alpheva AI, the information may include:

  • Contact information: name, email address, telephone number, country, and preferred contact method
  • Professional information: employer, role, industry, education, experience, qualifications, portfolio, résumé, and professional profiles
  • Business and project information: model goals, datasets, evaluation needs, timelines, budgets, workflows, and information included in messages or uploaded materials
  • Expert and applicant information: availability, work authorization, identity or qualification checks, interview notes, assessments, rates, payment details, and project history when those programs are enabled
  • Account information: login identifiers, permissions, organization membership, and support requests for restricted services
  • Communications: messages, feedback, survey responses, meeting details, and records of correspondence

3. Information collected automatically

If enabled, Alpheva AI and its providers may collect IP address, device and browser information, operating system, referral source, approximate location, pages viewed, interaction events, timestamps, and diagnostic or security logs. The final policy and cookie controls must identify the analytics, advertising, session-recording, and similar technologies actually deployed.

4. Sources of information

Information may come directly from you, your employer or organization, customers that sponsor a project, recruiting or expert-network partners, professional references, public professional sources, service providers, and your use of Alpheva AI systems. The final policy must describe any screening, enrichment, or verification sources actually used.

5. How we may use information

  • Respond to inquiries, scope projects, prepare proposals, and manage business relationships
  • Provide, administer, support, secure, and improve the Site and services
  • Review expert or employment applications and match qualified people to suitable projects
  • Coordinate assignments, evaluate submitted work, administer quality controls, and process approved payments
  • Conduct research, analytics, auditing, and product development using appropriate safeguards
  • Prevent fraud, misuse, unauthorized access, and threats to people, systems, or data
  • Comply with law, enforce agreements, establish or defend legal claims, and complete corporate transactions
  • Send service communications and, where permitted, relevant business updates or event information

6. Customer data, training data, and model evaluation

Customer projects may involve prompts, responses, annotations, rubrics, code, documents, tool-use traces, model outputs, or other project materials. The applicable agreement should define whether Alpheva AI acts as a controller, processor, or service provider; what data may be processed; permitted training and evaluation uses; access controls; retention; deletion; and ownership of deliverables and derived artifacts.

Public website submissions are not automatically treated as approved training data. Do not include sensitive, regulated, confidential, or third-party personal information in a public inquiry unless specifically requested through an authorized secure workflow.

7. Legal bases for processing

Where laws require a legal basis, processing may rely on performance of a contract, steps requested before entering a contract, legitimate interests, compliance with legal obligations, protection of vital interests, or consent. The basis depends on the activity and location. You may withdraw consent where processing relies on consent, without affecting prior lawful processing.

8. How information may be disclosed

Alpheva AI may disclose information to:

  • Hosting, security, analytics, communications, customer-management, recruiting, payment, verification, and professional-service providers
  • Customers or project partners when necessary to assess eligibility, deliver a project, review work, or administer an authorized engagement
  • Affiliates and personnel who need the information for the purposes described in this policy
  • Government authorities, courts, regulators, or other parties when required by law or reasonably necessary to protect rights and safety
  • A buyer, investor, adviser, or successor in connection with a financing, merger, reorganization, sale, or similar corporate transaction

The final policy must accurately describe whether Alpheva AI sells personal information, shares it for cross-context behavioral advertising, or uses targeted advertising. No conclusion about those practices should be drawn from this draft.

9. Cookies and choices

The Site may use necessary cookies and, if enabled, preference or analytics technologies. Browser controls may allow you to block or delete cookies, but doing so can affect functionality. Before launch, Alpheva AI must implement any legally required consent banner, preference center, opt-out signal handling, and region-specific disclosures based on the technologies actually used.

10. Retention

Alpheva AI intends to keep personal information only for as long as reasonably necessary for the purpose collected, project and contractual requirements, security, dispute resolution, and legal obligations. Final retention periods or criteria should reflect actual systems and recordkeeping requirements. Information may be retained longer where required by law or preserved for a legal claim.

11. Security

Alpheva AI intends to use administrative, technical, and organizational safeguards appropriate to the nature of the information processed. No method of transmission or storage is completely secure, and Alpheva AI cannot guarantee absolute security. Project-specific controls and incident obligations should be set out in the applicable agreement.

12. International transfers

Personal information may be processed outside the country where it was collected. Where required, Alpheva AI will use an approved transfer mechanism and supplementary safeguards. The final policy must identify relevant processing locations and mechanisms, such as standard contractual clauses, only after those arrangements are confirmed.

13. Your privacy rights

Depending on your location and subject to exceptions, you may have rights to request access, correction, deletion, portability, restriction, or objection; withdraw consent; opt out of certain disclosures or targeted advertising; and appeal a denied request. You may also have the right to complain to a privacy or data-protection authority.

Alpheva AI may need to verify your identity and authority before fulfilling a request. Authorized agents may be required to provide proof of authorization. The final policy must include the operative request email or form, response process, appeal method, and any state- or country-specific disclosures required for Alpheva AI's actual activities.

14. Communications

You may opt out of non-essential marketing messages using the unsubscribe method in the message or the contact channel provided in the final policy. Alpheva AI may still send transactional, security, project, or relationship communications where permitted.

15. Children

The Site and professional programs are not directed to children. Alpheva AI does not intend to knowingly collect personal information from children through the Site. Counsel must confirm the applicable age threshold and deletion process for the locations in which Alpheva AI operates.

16. Third-party links

The Site may contain links to third-party websites or services. Their privacy practices are governed by their own notices, not this policy. Review those notices before providing personal information.

17. Changes to this policy

Alpheva AI may update this policy as its services and legal obligations change. The revised date will appear on this page. Where required, material changes will be communicated through an additional notice or direct message.
